Privacy policy

This privacy policy describes the privacy practices and personal data processing principles related to the Birini Castle website (birinupils.lv) and the services we provide — accommodation, our restaurant, venue rental, and event organisation.

Data controller: SIA “Saule Bīriņu Pils”, Reg. No. LV40003085734, address: Bīriņu Pils, Bīriņi, Vidrižu parish, Limbaži municipality, LV-4013, Latvia.

For questions about personal data processing, please email solvita@birinupils.lv or call +371 29416661.

What information do we collect?

We collect personal data that you voluntarily provide to us:

  • by filling in a booking or inquiry form on the website (name, surname, email, phone number, requested date, number of guests),
  • when requesting a service by email or phone, including restaurant reservations (name, surname, contact details, additional information about your visit),
  • when checking in at the hotel — name, surname, year of birth, nationality, and the number and validity of an identification document (passport, ID card, or driving licence). Processing this data is a legal requirement for accommodation providers,
  • when signing a service agreement, for example for organising an event or banquet (name, surname, personal identity number),
  • when requesting a gift card or another service,
  • when signing up to receive news and updates.

Video surveillance is carried out on the Birini Castle grounds for the safety of visitors and the property.

The website does not process online payments and does not collect payment card or other financial data — payments for services are handled outside the website.

We may also receive personal data from an event or travel organiser if a booking is made on your behalf. If you provide data about other people (for example, event participants or guests), please inform them of this beforehand.

How do we use the personal data we collect?

We may use the personal data we collect to:

  • process and confirm your booking or inquiry — for the hotel, restaurant, venue rental, or an event,
  • fulfil legal obligations, such as guest registration at the hotel,
  • prepare and conclude service agreements and issue invoices,
  • provide you with effective customer support,
  • ensure the safety of visitors and the property,
  • send you informational messages, if you have explicitly consented to receive them.

How do we protect personal data?

We use various technical and organisational security measures to protect your personal data. Personal data is accessible to a limited number of people — only those employees who need it to carry out their duties.

How long do we keep personal data?

We keep personal data for as long as necessary to achieve the purpose for which it was collected, and for as long as permitted or required by law (for example, statutory retention periods for accounting documents). Video surveillance recordings are kept for a limited period and are then automatically deleted.
